Your confirmation order sent from Scan My Snaps confirms your agreement to full Terms and Conditions thereby forming a legally binding contract with Scan My Snaps (herein known as ‘us’ or ‘we’ in this policy) who is the owner. Scan My Snaps provide services for the scanning of photos, albums, 35mm slides, 35mm negatives, various other sized slides & negatives, memorabilia and paperwork (herein referred to as ‘photos’ for ease of reading). By using www.scanmysnaps.co.uk and/or by placing an order with Scan My Snaps, registered company number 10162940, you (the user and/or customer), agree to abide by the Terms and Conditions herewith. In placing an order, you should ensure that you have read the entire Terms and Conditions and if anything is unclear to you, it is your responsibility to contact Scan My Snaps for further explanation. Scan My Snaps reserve the right to change, alter or amend these Terms and Conditions at any time and will preserve original versions.
Your order is taken over the phone or in person and a 50% non-refundable deposit must be paid to Scan My Snaps via electronic bank transfer: Natwest Bank Account Number: 6413 5624 Sort Code: 60-02-21 We will also accept a cheque but this will delay your order being processed. Paypal is available if other means of payment are not possible but this is discouraged due to the payment our small business, Scan My Snaps, incurs. You may also pay with cash if we are collecting your order in person. Your order and subsequent steps in this process, are confirmed via email. Any cancellation request must be made within 24 hours from the time of placing your order AND before we have received/collected or despatched a courier. The cancellation should be done over the phone in the first place, and confirmed via email. Agreement to a full refund is at the sole discretion of Scan My Snaps. We reserve the right to cancel your order and provide a full refund.
If you require scanning without folder names, we will arrange collection of your photos as soon as we have received your deposit. If anything is unclear, you should check with us before doing so.
If you require scanning with folder names, you must package and label your photos in the way in which you would like them to be scanned. When placing photos into the resealable bags (which you or Scan My Snaps can provide),a minimum of 25 photos must be placed in each bag. The resealable bags should be sealed and the labels completed and stuck to each bag. The photos should be placed in the order for which you wish to have them scanned and Scan My Snaps will endeavour to keep them in that order as far as possible; sometimes, photos will not remain in the same order. If you order our ‘remove photos from album’ service, you must talk to us to discuss yours albums’ condition and the likelihood of being able to re-use your original photo albums. Photos in wallets may be left in wallets and they will be scanned and replaced in their wallets at no extra charge. Photos can also be bundled into envelopes of your choice. Photos which require special handling should be packaged carefully with protection to prevent damage and enable re-packaging when we return them.
We can arrange to collect your order using a reliable courier service; the package should be up to the size of a shoe box (which averagely holds about 1000 photos) in order to accept the standard £10 delivery/collection charge. If your package is different to this, you must inform us and we will advise you as to any additional cost of collecting your photos. Our collection and delivery service is valid in the UK mainland only. Alternatively, if you live within a 5 mile radius of Berkhamsted HP4 (where our premises are),we will collect your package free of charge. You may also choose to self-ship ie arrange the collection and/or delivery to our address, yourself at your own cost and risk. Your final CD or USB memory stick with your scanned images will be posted to you via recorded delivery or delievered personally where possible. Scan My Snaps cannot be held responsible in any way whatsoever, for the loss or damage to the customer’s property whilst in transit or on our premises; Photos /albums /slides /negatives / memorabilia and paperwork do not have a monetary value and therefore, no claims of any kind, may be made against Scan My Snaps. However, we fully acknowledge how precious these are to you and we will make all reasonable effort to avoid the loss or damage of your property. In the unlikely event of such an incidence, we will support you as much as we can, with issues you may face. Your photos will be returned via the agreed method stated on your order or verbally. You will be required to supply an address where someone is available to sign to receive your package.
We aim to complete orders within 3 working days; however, if you have a deadline to meet, call us and we will make every effort to meet your requirement. Once your order is completed, we will provide a sample of your images via a Google Photos link on an email. You should review them and inform us of any queries you have within 3 working days, after which we will take final payment and arrange for your originals to be returned to you.
Your initial 50% deposit payment will be based on your estimated number of photos you would like us to scan plus the cost of any extra CD or USBs required, plus collection/delivery costs if applicable; this payment must be received before we can accept your order. The final number of scans will usually be different to the original estimation . Your final invoice will then show either an additional payment for more scans, or a refund for less scans if either is appropriate. Final payment is required on the day after the (3 working day) review period is completed. Promotional discounts will be shown on your invoice. Collection and delivery charges are based on a flat fee and if your package is larger than a shoe box sized package (which averagely holds about 1000 photos),any additional courier cost will be added to your final invoice after we have spoken to you. We have a minimum order value of £30. We are not VAT registered and our service prices do not include VAT. Our bank details will be on your sales order and sales invoice and will be emailed to you.

We usually temporarily store a copy of your scanned images on our secure data hard drive for a period of 3 calendar months from the date of your final invoice, as a free of charge back up service ; after this period, your images will be permanently deleted and you will not be contacted to reconfirm this. We strongly recommend you back up your electronic copies to a computer, hard drive or media of your choice. This should be done as soon as possible after receiving them.
Your photos/memorabilia will remain completely confidential whilst in our possession and will never be published on our website nor any third party websites. Once the images are returned to you, we are no longer able to assure this confidentiality as they will now be in your possession.
We will not scan any item which may be considered inappropriate, such as pornography, human or animal distress and so on. We are bound by law to report images which we deem to be illegal, to the authorities.
We will only scan photos for which you own copyright on. At all times, your photos remain your property and you are completely responsible for ensuring that your images do not infringe any civil or criminal law.
